Prepayment is a guarantee of booking a place in the group for you and a partial payment of consulting services on preparation, program and team leader selection. The amount of the prepayment is stated in each program description. You give the rest of the sum in cash to the team leader when you meet them on the first day of the trip.
What about the prepayment if I have a positive PCR test the day before the program starts?
Below, on this page, you will find the standard prepayment refund terms. But, in these coronavirus times, we want to go an extra mile for our members. We understand that getting a positive PCR test before departure is an even bigger shock to you than it is to us. And somehow we don't want to "fine" you for it. So if you can't go hiking because of a positive corona test, your pre-payment is not burned, but:
- If we do not incur expenses or can refund them, the full prepayment remains on your balance until the next programs
- If we have non-refundable expenses, we charge the actual amount from the prepayment, and fix the balance on your balance. We always try to return the full amount, but sometimes we are not able to.
In turn, we ask you to be as careful as possible, especially a few weeks before your trip. Please don't get ill, and if you do, don't let it interfere with your mountaineering plans.
Payment methods
- Privatbank – transfer to the account of the PE.
Your manager will give details personally. After you have made a payment, be sure to write to them or us in the email, specify the amount, program, name and time of the transfer. If you paid with crypto, send a link to the transaction.
Prepayment refund
General rules
- More than 40 days before the start: full amount of prepayment will be kept on your balance or returned, excluding the transfer system commission
- From two weeks to 40 days: the pre-payment is returned or remains on the balance except for the actual costs we incurred (permissions, transfers, tickets for a second guide...)
- Less than two weeks before the start: the prepayment is fully withheld by us and will not be refunded/charged to the balance
- Prepayment is fixed in the currency you paid. For example, if the prepayment amount on the site is $100, and you have deposited 2700 UAH to our account, then in case of return of full prepayment for any reason, we will return 2700 UAH to you, regardless of exchange rate fluctuations.
Programs in Ukraine*
- More than 14 days before the start: full prepayment is kept on your balance or refunded, excluding the transfer system commission.
- From 5 to 14 days: full prepayment is kept on your balance, or 50% is refunded.
- Less than 5 days: full prepayment will be held by us and will not be refunded/charged to your balance.
*For the New Year's programs in Ukraine (period 23.12 – 10.01) the rules of return of prepayments from the section "general rules", as for overseas programs, are applied.
Special programs, corporate parties
- Prepayment should be made no later than three weeks before the start of the program
- Prepayment amounts to 30-50% of the total cost of the program.
- In case of cancellation in more than two weeks before the start of the program, the prepayment is returned less actual expenses (including manager's work, guide's tickets, compensation to the guide for program cancellation...)
- In case of cancellation less than two weeks before the trip: the prepayment is returned to the amount of actual expenses + 10% of the total program cost
After requesting prepayment refund, we usually return the agreed amount in the shortest possible time. But sometimes it can take up to a month. It's simple – if there's something to refund, we'll give it to you right away. If not, you have to wait for a payment. For certain programs these rules can be different, it will be mentioned in the program description.
Note: The pre-payment sent is a confirmation that you have read and agree to the above terms and conditions.
Calculation procedure when leaving the route
Important! No recalculation and reimbursement for climbing!
Anything can happen on a hike. If you got trauma, which is incompatible with further walking along the route, and decided to quit beforehand, you are to pay only for the number of days passed + one day. One day more because the food, insurance, guide fees and other expenses are already paid for you for the entire hike. This extra day covers them to some extent.
The maximum refundable amount is no more than 50% of the cost of the program.
For example:
The cost of a 6-day hike is $1,800 c.u.
You decided to quit on the second day. Let's calculate it this way: 1800/6 = 300 – this is the cost of one day. 300x(2 days + 1 day) = 900 c.u.
The new day starts at noon. That is, if you have walked two days, and on the third morning decided to get off – then it is considered that you have walked three days. If you quit in the evening or in the middle of the day, it's still three.
When there is no recalculation:
- You don't like the weather. It is often unstable in the mountains, with rain and scorching sun. You need to be aware of this and have the appropriate equipment. Because of the weather deterioration, the route may change for the whole group.
- The hike turned out to be more than just a walk in the park. All our routes are designed for the average person, but you will have to show your willpower traits (above all), because you will have to make an unusual effort in any hike.
- Personal motivation/ deeds. Maybe you suddenly don't want to go backpacking and decide to go to the nearest Disneyland?
- Light blisters, colds, injuries that do not prevent the passage of the route.
We wish you not to quit the route prematurely, and we will do our best to avoid such situations. Although they are few :))
